The organisation

Our home base is the Mercedes-Benz Customer Assistance Center Maastricht, which is the central point of contact in Europe for After-Sales, caring for the needs of current and prospective Mercedes-Benz customers. Beyond this responsibility, we also steer and further develop the global Customer Contact Centers (CCC) of Mercedes-Benz for After-Sales and Sales. 1500 employees from 42 different countries add diversity and enrich an organization dedicated to drive customer satisfaction and high performance. Employees act as brand representatives ensuring that customers receive personal assistance in their own language at a consistently high level.

The function

We currently have an exciting opportunity for a Management Assistant.

The core focus of this role is to provide administrative support to the Managing Director; as well as offer business administration to ensure professional image and effective running of the office in compliance to the company's related policies.

You work closely together with two management assistants of the other board members.

Wat do we expect from you in this role?

  • Support with meeting arrangements for the Managing Director and the Board of Management (BoM).
  • Support with calendar management: ensure that all appointment requests, events and changes are noted accurately. Ensure that the Managing Director has all relevant correspondence prior to the appointments.
  • Effectively coordinate meeting logistics. This includes meeting packs, supporting documentation and meeting minutes. In addition, provide status of invitations and replies as well as road maps when required.
  • Travel arrangements: effectively administer travel arrangements in line with company policies and procedures.
  • Stakeholder assistance: telephonic, e-mail assistance to be provided to both internal and external stakeholder and customers when required. Ensure that all requests are forwarded to the relevant stakeholder timeously.
  • Administer all expenditure claims and ensure compliance.
  • Coordination of meetings, workshops, conferences and trainings on/ and off-site. Administrative supports incl. approvals and various events related affairs
  • Support of PowerPoint presentations for internal and external meetings
  • Organize Townhalls and support in events organizations.

Requirements

Who are you?

You have finished your education on a bachelor level, 2 to 3 years’ relevant experience within an administrative role, previous experience in a Management Assistant / secretary capacity preferred.

Your English language skills are fluent or fluent, preferably also in German and/or Dutch.

You have excellent skills in prioritizing, organizing and time management. Work independently, accurately and a strong service orientated mind will help you to be successful in this role.

You are open minded and still able and willing to learn. In addition to this you are also not afraid to take the initiative if needed and you are able to establish relationships.

On this level in the organization, you act with tact, diplomacy and confidentiality.

Of course, flexibility to adjust your working hours to the business needs is necessary.

MS Office (Outlook, Word, Excel, PowerPoint) has no secrets for you.

Preferably, this role is for 40 hours a week.
