The function

The secretary’s role is to support the Faculty Board in performing its administrative tasks, thereby facilitating the decision-making process and helping the School to achieve its objectives effectively and efficiently. The secretary has an important role in communication, dissemination and follow up of the SBE board’s agenda and decisions. The secretary is based in the Deans and Director’s Office and is answerable to the director of operations.

Tasks

Decision-making and policymaking support: facilitating the administrative decision-making process; monitoring legal and other procedures relating to decision-making and policy development; preparing and assessing decisions taken and policies made by the board; drafting memos on the administrative process and specific projects as required.

Secretary of the SBE Board: organising and preparing materials for meetings + follow-up, such as informing relevant parties of decisions made and following up action items; monitoring administrative agreements, ongoing processes and obligations.

Secretary of the SBE Council: preparing, planning and taking minutes at Council meetings; providing general information to Council members.

Administrative support: providing general administrative support for meetings of department chairs, the Faculy Evaluation Committee, the International Advisory Board, spring meetings, etc.

Information and management: serving as an information point for various administrative bodies; core user of Corsa; maintaining the SBE webpages, the board calendar and the administrative framework.

Drafting and updating faculty regulations.

Correspondence: responsible for incoming and outgoing correspondence of the Board and Council.

Requirements

  • Analytical capacity and performance in line with graduates of Dutch (pre-)university education (HBO/WO)
  • Preferably experience in secretarial, communication and policy areas
  • Strong planning skills and a structured approach to ensure clear and transparent decision-making processes within the organisation
  • Clear and concise written and oral communication skills in Dutch and English
  • Efficiency and ability to maintain oversight in various work fields
  • Initiative and a proactive, result-oriented approach
  • Integrity, a diplomatic attitude and a high level of personal effectiveness
  • Good collaboration and communication skills

We offer

Employment period: One-year appointment with possibility of conversion to a permanent contract. The salary in this appointment will range between € 2.709,00 and € 4.274,00 gross per month (based on a fulltime appointment) and will depend on your education, qualifications and relevant working experience, based on salary scale 10 of the CAO NU (UFO profile Secretaris 1).
