Job description

As Office manager at the Department of Advanced Computing Sciences (DACS), you will have a versatile, varied job with various administrative, organizational and planning tasks within an inspiring and rapidly growing organization. You will contribute to the smooth functioning of the department by providing adequate secretarial and administrative support to the management team and the planning and organization of various activities and events.

Your main tasks will include but are not limited to:

• Provide secretarial and administrative support to the Management Team of DACS, including agenda management and the coordination and preparation (including taking minutes) of MT meetings and follow up on action items;
• Ensuring effective internal and external communication, including answering phone calls, emails and managing mail;
• Coordinating, optimizing and controlling internal administrative processes and procedures (like,  managing office supplies and ordering supplies as needed, room reservations and catering);
• IT hardware management;
• Various administrative tasks.

Requirements

You are a service oriented person with a hands-on and proactive attitude.You are flexible and you can work well work both independently and within a team. You like to work in an international environment. Besides that you have:

• Ideally 3-5 years of workexperience in a comparable role.
• Excellent command of MS Office applications such as Outlook, Word, Excel and Powerpoint;
• Excellent command (both spoken and written) of English and Dutch;
• Strong time-management abilities and the capacity to prioritize tasks effectively.

This position includes working office days on Friday.

What we offer

As Office Manager at Faculty of Science & Engineering, you will be employed by the most international university in the Netherlands, located in the beautiful city of Maastricht. In addition, we offer you:

• Good employment conditions. The position is graded in scale 7 according to UFO profile Management/Office-assistant, with corresponding salary based on experience ranging from €2693,00 and €3636,00 gross per month (based on a full-time employment of 38 hours per week). In addition to the monthly salary, an 8.0% holiday allowance and an 8.3% year-end bonus apply.
• An employment contract for a period of 12 months with a scope of 0.8-1.0 FTE. Upon proven suitability, the employment contract will be converted to an indefinite contract.
• At Maastricht University, the well-being of our employees is of utmost importance, we offer flexible working hours and the possibility to work partly from home if the nature of your position allows it. You will receive a monthly commuting and internet allowance for this. If you work full-time, you will be entitled to 29 vacation days and 4 additional public holidays per year, namely carnival Monday, carnival Tuesday, Good Friday, and Liberation Day. If you choose to accumulate compensation hours, an additional 12 days will be added. Furthermore, you can personalize your employment conditions through a collective labor agreement (CAO) choice model.

The Department of Advanced Computing Sciences is Maastricht University’s largest and oldest department broadly covering the fields of artificial intelligence, data science, computer science, mathematics and robotics.
